Here's how we currently operate. We have a core business consisting of two separate offices, P&E1 and P&E2. The ownership is different so we keep a separate checking account and create separate P&Ls for each.
We use Quickbooks Pro. We code all bills that come in, then scan them to the B/A who is currently located off-site. She is in location A; P&E1 is in location B and P&E2 is located in C (we have two offices).
On the deposit side, one office scans credit cards and checks directly into our account. The other office goes to the bank and makes deposits.
The B/A inputs the bills into QPro in the appropriate category. Each week the B/A prepares a list of payables and notifies us the report is ready. We then pull up the report from QPro, decide which ones to pay then print, sign and mail the checks. We have approximately 10 checks to write for each office each week, or a total of 20 each week. It seldom exceeds that.
